Hi Renata,

The budget is for Membership Management Software, so that covers anything that has to do with website and database building/maintenance.

I hope this helps.

Hi

Yes, so this budget was for FY18 (until June 18) and it was already
transferred to FY19 (June 19).
If not used
Maybe it is transferred to FY20, maybe not

If used
Implementation has to be until June 19 so necessarily doesn't need to
be a project ready before the leadership changes, the next leadership
can monitor it too

What this budget covers
That would be interesting getting some more information. Maryam
appreciate if you have any more info.

Hi Renata

There will be no binding advice from NCSG and no need to report- this is
NCUC budget and I don't know what you mean by you can access it easily. The
money is there, you ask Maryam, Maryam tells you how to go about it (I was
in the middle of writing this, and she just did). But I wonder how much your
hosting costs? It was around 350 USD during my time, I think they moved to
some VM and might be more now. and how long you want to pay for it into the
future? The budget will not go away when the leadership changes. it will
remain until January and if not used it will go to the next year I believe.
Again you didn't have to ask me. Also whatever you spend this budget on, you
should spend it on something that does not require too much time of the
volunteers to update and sustain it.

I think Brenden at the moment pays it and gets reimbursed. Believe nudging
e-team is not a bad idea. Also if no budget is allocated to NCSG/NPOC/NCUC
next year for membership management, you can use PIR money for all the
groups for hosting. (but that's last resort)

Hi Tapani and Maryam

I think it is a good idea to use the remainder of the budget to secure
NCUC has its hosting paid for some time into the future.

EC, if you have no objection to this in 48h, we'll proceed on this
direction as there were no other suggestions

Maryam, can you please let us know how do we access this budget and do
these payments as Tapani indicated?

Farzaneh, do we have to send anything to NCSG, a report or something?

Thank you

Hi Renata, all,

While the money was initially earmarked for member database only, it
has been approved for website maintenance as well (at least in part
because the solution CSG opted for includes it). Anything else is
uncertain, and in any case it'd be prudent to check with staff before
spending any of this money.

One rather obvious use though would be the hosting of ncuc's virtual
machine (where ncuc's own website and mailing lists live). It's not
long ago when that was last paid, I'm not sure if even that could still
be reimbursed, but in the future it certainly could be covered by this.

And I'll note that the VM is actually pretty low on disk space now,
usage 90%, so spending some money on that might be a good idea, too.

Dear EC

As we have allocated 4k out of 9k to NCSG Membership database, there
is a quantity which remains of the budget.

NPOC had it allocated to its website.

We have only 2 months until the end of the term of this leadership and
I`m not sure if there will be easy access to this budget later.

We have had a reasonable amount of success with our online activities.
I think we could use a "networked database" for our members. Something
like ICANNWiki but for profiles only.

Anyhow this is just a 1st idea and not at all guaranteed that we can
even access this budget but would be great if we could so we need to
take a decision soon.

Best,

Renata
