Dear community leaders,



Based on each of your group’s FY19 outreach plans, staff believes that
EURALO, NPOC, NCUC, BC, IPC and perhaps ISPCPC intend to use one CROP slot
to fund a member to the ICANN63 meeting in Barcelona. Due to the new CROP
guidelines for FY19 and the need for some groups to modify the draft
outreach plans that were submitted, we know there has been little time for
you to confirm your nominee for that travel slot.



CROP staff has consulted with our colleagues in Constituency Travel to see
if there is anything that can be done to help you manage this situation. We
are pleased to report that, *while we still need you to submit the name of
a proposed traveler by the due date in accordance with the CROP guidelines
(which I believe is 31 August, or tomorrow, for ICANN63), Constituency
Travel will hold off making any plans or bookings for almost one week. This
means that each group will have up to next Thursday, 6 September, to
confirm whether that person is indeed the traveler using CROP funding for
ICANN63 or if someone else or no one will be using the slot. *Please note
that this does *not* constitute an exception to the CROP rule of the
minimum required six weeks’ notice, but is an accommodation that we have
been able to work out due to the special circumstance of the new CROP
guidelines and the subsequent concurrence timeframe.



Please note that *you will still have to fill out the Trip Proposal form
for that person by tomorrow using the CROP wiki form*. If we may, we advise
that as far as possible you take into account the question whether or not
your intended traveler may encounter issues with travel if their travel is
booked later (as will be the case by pushing out the date to next week). We
therefore encourage you to confirm your intended traveler (if any) as soon
as possible before next Thursday, and if you have a confirmed name by
tomorrow that will be best.
