[NCUC-EC] Meeting requests for hyderabad meeting

Hi everyone,

we have to start the planning for Hyderabad meeting. We have to make our
requests for meeting room by 14th September. You will find below the
excerpt of 2 communications I received from ICANN staff about that matter.

For Hyderabad, I think we need:
- meeting request our usual NCUC Civil society outreach session. we may
work with ICANN staff and local members for that matter.
- the NCUC session at constituency day: the timing will be coordinated with
NCSG to give people enough time for lunch break
- another NCUC session in place of EC meeting to talk about the bylaws
change.

That won't be different from previous requests except Helsinki. we will
also get the language interpretation service.

we are not talking about the topics/agenda for now, as agreed we will
consult our membership about the constituency day session and avoid
spending too much time about internal admin stuff. we can also have ad-hoc
meeting to discuss policy etc but we should coordinate with NCSG.

we also have the High Interest topics proposals that we can submit by 1st
September. as you saw it , Jeremy made a proposal for a topic and we are
looking for more.

we will compile our meeting request and Maryam with GNSO secretariat will
submit it on our behalf.

In addition to our outreach for Hyderabad, Klaus reached me inviting NCUC
to participate in 2 outreach session/events for Hyderabad . I will share
information later

submitting session request forms on behalf of all groups into our event
management scheduling software (EMS) and we will consult with our staff
steering committee as well as SO/AC/SG/C liaisons to address any conflicts.

The production timeline for requests is as follows:
Submissions Open: High Interest Topics Proposals Due: Thursday, 1 September
EMS Request Period: Board, SO/AC/SG/C & GDD Sessions Form Opens: Thursday,
25 August
EMS Request Period: All Sessions Form Opens: Thursday, 1 September
GNSO Meeting Requests
Staff Deadline / Schedule Closed Due to GNSO Secretariat by Wed, 14
September
Thursday, 22 September
Public Schedule Posted Online Thursday, 13 October

I anticipate proposals for high interest topics from each individual group.
Once proposals are in, we will combine like topics and work together to
determine who will take the lead in organizing these sessions.

I hope this is helpful for now.  I will provide an update to everyone on
Friday, September 2nd after we’ve received all the HIT proposals.

ICANN57 is approaching rapidly and as such we wanted to share with you the
proposed approach for planning and scheduling GNSO related meetings.



·       All meeting requests are due to the GNSO Secretariat (
gnso-secs at icann.org)by *14 September 2016.* It will not be possible to
process any requests received after this date.

·       When submitting your request, please provide all the information on
the meeting request form which will be sent out on Friday 12 August 2016

·       Please avoid requesting any meetings that are in direct
conflict/competition with other GNSO meetings and Cross-Community WGs. You
will find attached the draft GNSO schedule. Highlighted in orange are the
currently planned GNSO meetings.

·       All meeting requests will be reviewed by the GNSO Council
leadership. You will be contacted should there be a need to suggests a
different time/date for a specific meeting to minimize conflicts.
