Given the urgency of the matter, I'd suggest us sending out this email

Also, we could consult with the mentee to see if he would be ok for us* not
*to identify him, but note that this emergency call is due to Visa issues -
as this explains to the wider membership *why* we are doing this in this
manner.
But we can always just cut out that part.
