Subject: INPUT REQUIRED: FY18 NCPH Intersessional

Dear Joan, Farzaneh, Wolf-Ulrich, Andrew, Greg and Tapani,

Following initial positive feedback regarding holding the NCPH Intersessional meeting, I’m following up with you to seek your input on setting dates for the meeting. As noted in my previous email, the GNSO Council is holding a Strategic Planning Session in early 2018, and Staff has been collaborating with GNSO Council Support Staff for planning purposes to see if consecutive meetings were an option. The Council Strategic Session will most likely take place in Los Angeles on the 29, 30 and 31st of January, so we are currently seeking NCPH Leadership input on the following: are you in favor to hold the NCPH Intersessional Meeting right after the GNSO Council Strategic Session, on Feb. 1-2 2018 in Los Angeles?

This would be directly beneficial for GNSO Councilors attending both meetings since it prevents them from needing to travel twice for two separate short meetings, and the Los Angeles location will give the group additional opportunities to meet with ICANN Senior Staff, which was one the key items flagged as important both in the 2017 NCPH Intersessional Meeting survey, and from community attendees directly to staff.

Kindly confirm by Friday, 29 July 2017 whether you support for the NCPH Intersessional to be held in Los Angeles on 1-2 February 2018 following the GNSO Council Strategic Session that week.

I have followed up with the CSG and NCSG Secretariat regarding election schedules, and note that the BC is the group who will have election results later in the year, with results to be posted around the 8th of December. The meeting taking place in early February would still make it manageable from a planning standpoint if all other groups agree to submit traveler names as early as possible, and no later than early November 2017.

Please note this is just a suggestion, and decisions are for the NCPH Leadership to take; however, if these dates don’t work we might need to move the NCPH Intersessional meeting to take place later in the year, with an office location still of preference for logistical and budgetary reasons. The GNSO Council’s dates will be confirmed soon, so we’re hoping the NCPH leadership will be in a position to give their feedback at this time to ensure we have enough time to plan accordingly.

Subject: FY18 NCPH Intersessional

Dear Joan, Farzaneh, Wolf-Ulrich, Andrew, Greg and Tapani,

The purpose of this email is to initiate discussions regarding the NCPH Intersessional meeting and to see whether you would find it useful to have another NCPH Intersessional Meeting in FY18. Please let us know what your thoughts are about this asap. Feedback collected from 22 attendees from this year’s meeting noted that 100% of respondents would be willing to attend another meeting, but please confirm as soon as possible if this is still the case.

If you are to go ahead with a meeting, please note that we will need to submit a meeting request a minimum of 5-months prior to the event, meaning that if the meeting will be maintained in the January/February timeframe we will need to submit details by the end of August 2017.

This includes:

  *   Names of travelers;
  *   Location (office location strongly encouraged for budget, planning and organizational purposes)
  *   Date;
  *   Requirements on site.

Staff is aware that elections will be taking place, so the key will be to submit the bulk of traveler details as early as possible, limiting late submissions only to those pending election results.

Please also note that the GNSO Council has requested a Strategic Planning Session via the Additional Budget Request Process for FY18 (see: https://community.icann.org/x/ydbRAw  request number FY18-23) which will most likely take place in the January timeframe in 2018, so something to consider is whether the NCPH Intersessional and GNSO Council Strategic Planning Session can be held in the same timeframe or not. Please note that the GNSO Council Strategic Session will be held over the course of 3 days. Alternatively, you might need to consider holding the NCPH Intersessional meeting later in 2018 for timing purposes to avoid overlaps with the GNSO Council Meeting.
