We’ve discussed before (e.g. thread on the members list in Sept. 2003) that in response to the toll that admin stuff takes on volunteers’ time, ICANN was considering providing us some part time staff support.  So they have now gone ahead and hired someone, albeit without our involvement as we’d asked.  And so it goes…anyway, they’ve hired a Ms. Maryam Bakoshi who lives in the UK.  I could imagine Maryam being helpful with, at a minimum, maintenance of the member data base and management of the election process in December.  There are other possibilities depending on our levels of trust and coordination, e.g. meeting scheduling, setting up Confluence work spaces, sending out ICANN notices of developments to our members (so Rafik and I don’t have to be selecting and forwarding all the time), ensuring broader distribution of any outputs we generate (probably more a NCSG thing), etc.  We need to think about what we might want.

Anyway, Benedetta and Rob suggested an initial 'getting to know you call' to make the connection and familiarize her with NCUC.  Finding a time that works for California-based staff and me in Europe led us to decide on Friday 19 September at 6 pm CET/9 am PST.  If anyone would like to join the call, let me know and we’ll share dial in info when available.

We can schedule a follow up ‘getting started’ down the line a little after we’ve discussed internally what exactly we’d like her to do.

Rafik, I recognize that the timing of this call is not great for you.  Have you separately discussed this with Benedetta and Rob and scheduled your own call?  Or would you like to stay up late and join this one?  Whichever, once the ice is broken and we move toward actual work, clearly we’ll need to coordinate on this going forward, as admin work for NCUC and NCSG will overlap substantially.

Dear Rafik, Bill and Rudi,

The purpose of this note is to report to you our progress on the provision of part-time in-kind secretariat support services to your communities on a pilot basis in FY15. Since the London meeting, we have been working to complete candidate interviews, work with our staff colleagues on contract documentation and finalize the details of the pilot program.  We are pleased to inform you that the contracting process for the GNSO Secretariat Pilot Program is now complete. We have finalized the hiring process for Ms. Maryam Bakoshi to provide part-time secretariat services to the NCSG, NCUC and NPOC, and she is currently undergoing training within the GNSO Secretariat Team and the SO-AC Engagement Team so that she can “hit the ground running.”

Maryam is based in the UK and previously worked as a Management Consultant at Accenture, UK. Maryam has worked on a wide range of projects within both the Public and Private Sectors within and outside the UK. She received her M.Sc. in Information Technology from the University of Nottingham, UK. She is an accomplished and fluent communicator with strong investigation, problem-solving and decision-making skills. We are confident that she possesses the required skill set to successfully provide support to the NCSG, NCUC and NPOC and look forward to your collaboration.

As we previously discussed, the GNSO Secretariat Pilot Program will allow Maryam to provide a set amount of hours to each Constituency/SG on a weekly basis – 12 hours per week, per group. The 12 hours per week can be broken down according to your specific priorities and needs, based on the general menu of services that we developed over the past year (see attached table). At this stage of the pilot effort we are looking at the following services: conference call support, basic meeting minutes, Wiki page updates/management, mailing list management, ad-hoc enquiries (from your Executive Committees/membership), onboarding support for new community members, election management and support of in-person community meetings. Please note that there currently isn’t travel funding for this position, so the in-person meeting support will be handled remotely.

The menu of services was drafted as a guide in preparation for the pilot program’s roll-out and is not an imposed list of tasks. We are very interested in exploring with you what your administrative needs are, and can work together with you to expand or modify the list of menu items as your needs require - so long as we stick to the allowance of 12 hours per week.

We are looking to schedule telephone introductions with you and your leadership teams over the course of the next week to 10 days to answer any questions you have about the program roll-out and to introduce you to Maryam. We will follow up with you shortly with some potential dates and times to see what best fits your schedule.
