My original budget proposal asked for support for a meeting on Thursday 20th. But it turned out this raised a number of problems. On our side, some EC members were finding it difficult to organize their home work schedules in a manner that would allow them to take not one (for the conference) but two extra days out of the office on top of a week long meeting. On ICANN’s side, holding a Tuesday meeting would have big financial and staffing consequences because they'd have to secure a room outside the normal rental agreement and have people there to support, plus GNSO staffers I’d like to brief the new EC members so they can have a smoother intro to GNSO arcana were unlikely to be on the ground yet, and we’d have to use more of our allocation for extra nights of hotel, catering would have to be arranged, blah blah blah. It appears to be much easier on everyone if we meet Saturday, and this will hopefully mean staff will allow us to reallocate a chunk of the allotted funds a bit to support a traveler instead, a matter on which I’ve been going back and forth with them for months.

As I've been given some additional responsibilities for scheduling this meeting, I am acutely aware that scheduling around ICANN meetings is incredibly difficult and clashes are unavoidable.

> So I hope Saturday works. Given that normally only a couple EC people would be at a Saturday GNSO meeting anyway, the actual lose would be negligible.

I was just letting you know that our plans are to give more GNSO people (and particularly SG/C leaders) some better reasons to be there.

> And if there’s something going on in GNSO that’d be particularly interesting or important to have bodies at, we could also build a sample visit for a period into the retreat agenda. We can coordinate on that.

Of course, lets coordinate as much as we can.

	I'm sure it will.

The council is considering ways to change and improve those working sessions, in particular the council is talking a lot about how to make that Saturday session in particular more of a wider GNSO session rather than being as Council focussed as it is now, with more participation by constituency/SG leadership, working group participants, etc.

>> I'd hate for their to be sessions in which NCUC was under-represented compared to other constituencies due to timetable clashes, so I'll do what I can to keep the EC informed of timetabling.
