Ines, this is a different flyer…not the NCUC flyer, but one advertising the Issue Forum.

 

If you know anyone with design skills that could put one together, that would really be helpful.

Now that we know the evening is packed with activities ,we can  make a reservation nearby for a light lunch or appetizer somewhere close to the place of the session if possible and have a light lunch depending on the number of attendees we have. As stipulated we can plan for 30 based on the budget and cost of things in Hamburg.

When you say a social event after our forum, can you be more specific about what you have in mind? The forum is on Wednesday morning @10:30. That evening is ICANN the 25th anniversary celebration, which I guess most people will attend and goes until 7:30pm. Do you have something in mind later than that? Or maybe offer lunch after the forum concludes? Either one is ok with me, but offering a lunch immediately afterwards may keep the conversation going. We can check with one of the restaurants in the hotel about this. 

 

Also, I understand that NCSG is also planning some evening get-together, but I do not know what day.

 

For the Flyer, the sooner someone creates that, the better. Also, we should explore other mechanisms for communication that may get out to meeting participants.

Dear Ken and all. 

Thank you for your contribution. I reached out to the Grand-Elysee but no response yet.

 

The most desirable situation is to have a social event after our forum.  I will suggest we come up with a budget and when we get to Hamburg we check what is available within the vicinity.

 

Here is a list of items that may be on our budget

 

1. Food & Drinks for 30 persons

2. Snacks for the Issue forum 

3.. Printing flyers  for our sessions

4. Stipend for a rapporteur for the session

5. Photographer for session 

6. Logistics

 

 

I do not have the cost for these because I do not know how much it would cost in Hamburg, does anyone have any ideas?  However, we know that we are getting some support from  PIR to the tune of 2500 USD.

 

Can we at least approve that now, so that the Treasurer can make that available, without the EC approval he can not issue any money to us.

Hello all, 

 

Any catering needed to be requested already and the venue doesn’t allow outside catering. I suppose a community member could bring some stuff in and maybe the venue wouldn’t notice, but we cannot request catering from the venue at this point.

Hello Benjamin.

 

Great news about the PIR contribution. Probably we will need some help when it comes to costing anything for ICANN78 activities.

 

Two items that come to mind for the Issue Forum: publicity and refreshments.

 

Publicity: 

*	I guess we will need to create and have printed a flyer to leave around the conference venue. 
*	Hopefully, someone in our vast community has the skills necessary to create such a flyer. 
*	We’ll need some advice on where we can have this printed locally. I will be in Hamburg a few days earlier, so I can take care of this if I have a pdf.
*	Presumably, we can submit receipts for reimbursement.

 

Refreshments:

*	Maybe Andrea can advise on how we can arrange refreshments for the Issue Forum.
*	Also, are we planning refreshments for the NCUC membership session?
